University of Minnesota - Events Intern

*Intermediate experience in communications skills, both written and oral
*Advanced organizational skills -- Must be able to handle multiple projects at the same time in an organized fashion
*Intermediate experience in Microsoft programs
*Experience with other administrative duties including: filing, data entry, copying, and shipping
*Must be able to lift up to 30 pounds

*Event planning experience (in area of external affairs a plus)
*Strong customer service orientation
*Flexible availability to work evenings or weekends

Approximately 20 hours per week or as schedule dictates.

I. Event Administration (60%)
*Schedule and/or oversee event logistical details and materials as directed
*Contact service providers/vendors to get quotes, place orders, etc.
*Handle equipment reservations and keep accurate, up-to-date inventories
*Prepare event boxes and arrange for transport to venue (direct ship or provide to event manager for transport)
*Daily update of the Event Manager Registrations database system
*Create lists or diagrams (RSVP, seating, etc) and distribute to staff as requested
*Aid Events Coordinator with multiple logistical details, which could include on-site management, equipment set-up, and program reception

II. Event Communication (30%)
*Manage the Carlson Events email and voice mail, responding to telephone/email inquiries and requests in a business-like, professional manner 
*In-person or phone contact with participants, professionally greet or resolve issues that may arise with registration or payment transactions
*Assist with sending invitations, coordinate mailings, or prepare name tags as requested

III. Miscellaneous Project Management (10%)
*Complete miscellaneous event and office projects, as requested
*Clerical responsibilities include: faxing, data entry, copying, shipping and receiving
