Position Summary
The Development Events Manager is responsible for executing all
development-driven events, including the Museum’s annual gala as well as
the coordination of smaller-scale sponsor, donor cultivation, and
stewardship events. This position independently plans, implements and
evaluates these events to meet corresponding goals within the approved
budget. This position is responsible for development, oversight and
monitoring of gala budget. This position works in collaboration with
the Development Department and in support of all associated committees,
board members, volunteers, sponsors and Museum staff from all
departments to successfully implement events. This position is
responsible for achieving operational objectives which support the
mission of the Museum. They are an advocate and leader in implementing
our mission “Sparking Children’s learning through play”.
Major Job Accountabilities
Independently manage the Museum’s annual gala including budget development and oversight to achieve the net revenue goal.
· Financial Management – Negotiate and finalize all contractual agreements. Monitor financial encumbrances.
· Volunteer Committee Support - Work in partnership with VP of
Development to identify, recruit and secure volunteer chair(s) and
committee members with contacts and fresh ideas.
· Corporate Sponsors - Collaborate with key staff and board members.
Network, research and strengthen relationships. Seek and secure in-kind
donations.
· Live and Silent Auction - Review and determine auction items needed
to reach fundraising goals. Develop ambitious timeline to solicit and
secure auction items. Record items and send acknowledgements on a timely
basis. Oversee set up of the live and silent auction.
· Logistics and Staffing - Coordinate all logistics for the event,
raffles, volunteer staffing, board and committee assignments,
check-in/check-out procedures. Ensure that all event information is
entered into Raiser’s Edge in a timely fashion. Collaborate with
Volunteer Services.
· Marketing/Communications - Work closely with External Relations
Department to develop and implement marketing and communications plan
that generates elevated community awareness, increased attendance and
deepens donor participation. This includes printed materials,
advertising, press releases programs, signage, invitations, scripts and
event presentation materials.
· Event Wrap Up - Thank all event attendees in a timely manner. Plan
and run volunteer committee appreciation event(s). Prepare reports
prepare and send benefit execution summary for each corporate sponsor
following the event.
Execute other events to support the overall philanthropic goals and strategies of the Development Division.
· Coordinate and implement Individual Donor Cultivation and/or Stewardship Events.
· Coordinate and implement Corporate, Foundation and Sponsor Events.
Minimum Qualifications
Bachelor’s degree and/or equivalent experience.
Three to five (3-5) years experience in special event management, including major fundraising
events, with high level of autonomy and decision-making.
Experience working with volunteer committees.
