Minnesota Orchestral Association - Marketing Coordinator

The Minnesota Orchestra is one of America’s finest and longest-established orchestras, now led by its 10th Music Director, Osmo Vanska. We own and operate our own Hall (capacity 2,460) where the Orchestra and management are headquartered.

REPORTS TO: Director of Marketing, Single Ticket Sales & Audience Development

Primary Purpose: Manages production, printing and mailing of direct mail initiatives and printed materials for all departments at the Minnesota Orchestra. Manages all venue signage. Some print advertising responsibilities as assigned. Provides administrative support for the Marketing Department as assigned.

MAJOR JOB FUNCTIONS:
Coordinates the production of all printed materials.

Finalizes print specs (dimensions, finishing, paper) and secures print bids for all jobs; seeks cost-savings recommendations

Verifies non-profit postal regulations are met and seeks cost-savings recommendations (size, dimensions, fold, tabbing)

Coordinates printing, signs-off on approval proofs as necessary, verifies print quantities and ensures timely delivery of all materials

Attend weekly pre-production meeting, update traffic report and proactively track jobs on an ongoing basis

Prepare mail house job specs, seeks approval from managers as required, ensures timely delivery of all materials, ensures timely mail date

Maintains postage account balance; routes monthly usage report to managers for approval

Serves as liaison to other departments for all printing and mail house needs

Serves as liaison with both the mail house and the Post Office

Manages all aspects of the weekly ad and standing monthly ads (place insertion order, provide concert listing and creative direction to designer, route for proofing, finalize and submit on time and error free)

Assists marketing managers with routing proofs, proofreading and editing as assigned

Manages all aspects of crowd-based marketing campaigns (determine offer, pitch, coordinate fulfillment, revenue split with Ticket Office, route for approval, final sign-off)

Works with Marketing Managers to create schedule for ticket stuffers and all signage (posters, banners ,table-tops, electronic)

Manages digital signage production and scheduling; coordinates installation and removal of all other signage

Assembles all music clips for web site

Assists with staffing for special events as needed

Assures timely circulation of expense invoices for coding and approval; files department copies; routes to finance for payment

Assists with data entry for revenue projections as assigned

Coordinates brochure, ticket stuffer and program insert distribution (venue and administrative offices)

Fulfills requests for brochures from outside parties, with prior approval

Manages storage, inventory, archiving and recycling of all materials

Takes meeting minutes and action items at weekly subscription meeting

Maintains hardcopy and electronic files of all print advertising samples

Organizes & maintains job files and samples of printed materials

Provides clerical and communication support as needed (letters & memos, spreadsheets & charts, small mailings, copies & faxes, supplies & office machine maintenance)

REQUIREMENTS:
Qualified candidates will energetic, goal-oriented, and have the initiative to manage multiple projects simultaneously in deadline-driven environment. Bachelor’s degree, plus 2 years marketing experience required, preferably in the arts/culture or entertainment industry. Exceptional communications and organization skills, and experience in direct mail and postal regulations required. Experience managing graphic design, knowledge of printing process and negotiation, copywriting, proofreading, and special events experience preferred. Knowledge of classical music desired. Proficiency in Word, Excel and PowerPoint required.
